Easily recognisable logic is applied when setting up an Xtendis system and this is one of the reasons it is so easy to use.
Once the system has been implemented, the everyday use of Xtendis is as follows:
Documents can be entered in Xtendis from every possible source. Paper documents are entered using a scanner or multifunctional copier. Electronic documents, such as e-mail, Word and Excel files are imported directly and converted to a standard file format making both contents and format unalterable. Large files containing documents from other systems, such as invoices, annual statements or policies, can be automatically imported. In addition to the unalterable document format the original file can also be archived in Xtendis if required.
Once documents have been read into Xtendis they are given search keys, either manually or automatically, and saved. Users can search for and read the documents on their screens using these search keys. By combining these search keys with full-text-retrieval, a document can also be retrieved using any word or number that the document contains.
Xtendis offers full workflow functionality that can be deployed to distribute and process documents. The workflow steps also support interaction with the users as well as with other systems.
Documents or groups of documents can be printed or sent as fax or e-mail from Xtendis. Documents and data can also be exported to other applications.
Xtendis offers considerable flexibility when setting up the system. Each organisation decides for itself which characteristics are stored with documents and dossiers. User profiles and authorisation levels can be created and managed per archive, and any workflow can be defined per application. And it goes without saying that the system setup may be adjusted at a later stage.
